The brief

Where they started, and why.

A document workflow automation platform already established in a crowded SaaS category, looking to convert incumbent status into search dominance.

The situation

PandaDoc came to us in August 2021 already winning: document creation, approval and e-signature workflows for businesses worldwide, and a DR of 78 to show for it. The problem with being established in a category as contested as SaaS document automation is that the obvious moves are already made. They were not looking for a foundation — they had one — they were looking to convert it into a lead that competitors could not close, and that meant authority from places their competitors could not easily reach.

Our approach

Long campaigns are won on supply, not tactics. Every one of the 300 placements was checked against PandaDoc's existing referring domains before we pitched it, because on a profile that size the risk is not finding links, it is buying the same domain twice and paying for a referring domain you already have. The targets came from relationships in software and technology built over years — the kind of properties that do not respond to cold outreach, which is precisely why competitors were not on them.

Dedupe against the existing profile first

With a DR 78 domain there are already thousands of referring domains, and a second link from a site you already have adds far less than the first. Every target was screened against PandaDoc's live profile before outreach, so all 300 placements brought a domain that was genuinely new to them.

Relationship-gated placements

Placements landed on properties like UpCity (DR 85), monday.com (DR 89), G2's Learn hub (DR 90), eWeek (DR 83) and User.com (DR 74). These are not marketplace inventory — they are earned through standing relationships in the software space, which is what made them defensible rather than replicable.

Quality floor held for three years

The links built averaged DR 69 across 300 placements and 35 months. Sustaining that mean over nearly three years is the hard part: it means turning down volume in any month where the available inventory would have dragged the average down.

The outcome

More than triple the organic traffic, and the keyword base to hold it.

Monthly organic traffic grew from 186,000 to 581,000 across 35 months — a 212% increase. Ranking keywords rose from 191,000 to 450,000, a 135% expansion that matters more than the traffic figure on its own: it means the gain came from a broader base of terms rather than a handful of pages spiking. Domain Rating moved from 78 to 81, which at that level is a substantial amount of link equity, since DR is logarithmic and each point costs more than the last.
